A free barista schedule template
Built for a coffee shop with five to fifteen staff — not a generic “employee scheduling” grid with thirty columns you will never use. Works in Excel, Numbers, LibreOffice, and Google Sheets (File → Import).
No email, no signup. It’s a file.
What’s in it
- One row per shift — day, start, end, role, who. Hours calculate themselves, and so do the weekly totals per person.
- A filled-in example week, two shifts a day, so you can see the shape before you delete it.
- A second sheet for call-offs, swaps and cover. This is the one most templates leave out, and it’s the part that actually costs you your evening.
Why the second sheet matters
A café’s week is roughly ninety percent identical to last week’s. Almost nobody struggles to write the schedule down — they struggle with what happens after: someone can’t make Friday, two people want to swap, and it all arrives in a group chat you half-read between drinks. If that sheet fills up every week, the schedule isn’t your problem. The exceptions are.
When a spreadsheet stops being enough
When you’re re-typing the same week and then chasing cover in a group chat, the spreadsheet has stopped paying for itself. That’s what we build: your staff text the shop in plain language — “can’t work friday”, “swap with Jess” — it gets read, confirmed back to them, and you approve it on one page. No app for them to install, no accounts, nothing to log into.
